The Senior Operations Manager provides the leadership and management to ensure that the Humanitarian Services (HS) business unit has the proper operational controls, administrative and reporting procedures, and people systems in place to effectively grow the organization, ensuring financial strength and operating efficiency. The position accomplishes this through a respectful, constructive and energetic style that complements the leadership team and is guided by the business and financial objectives of the CHS/Caliburn. This position carries a high degree of responsibility and judgment in overseeing the provision of high quality services on an ongoing basis, including in times of emergencies. Bachelor’s degree in related field with five years of experience performing related responsibilities
Demonstrated successful track record in successfully managing turnarounds through the building and management of outstanding teams.
Understanding of business practices and technologies to build an appropriate platform for effectively growing the business in coordination with operational and financial requirements.
Ability to research and analyze problems, identify solutions, and take appropriate action to resolve problems using independent judgment and decision-making processes
Ability to work independently and collaboratively
Knowledge of and ability to interpret USG, as well as CHS, Policies and Procedures pertaining to our contracts, DFPS Minimum Standards, and all other pertinent rules and regulations
Clean criminal background check
Clean Child Abuse and Neglect (CAN) or child protective services check
Meet the requirements of the contract for all immunizations (Emergency Task Order or Cooperative Agreement)
Travel frequently up to 50% of the time.
Bachelor’s degree in business management or related field
Bi-lingual in English and Spanish (read, write, and speak)
Project Management Professional certification
Duties and Responsibilities:
Provide day-to-day leadership and management within the HS business unit that mirrors the adopted mission and core values of the CHS/Caliburn. This includes providing direction and coaching to individuals who lead the various programs within the business line and executes in coordination with the vision and strategy set by the Vice President, HS.
Institutes continuous improvement programs intended to support business growth and scalability. The Operations Manager will execute strategies to manage default operations, and manage daily operations ensuring customer experience, quality, productivity, service, revenue generation, and department goals are achieved.
Responsible for executing against financial and operational goals and assesses organizational effectiveness in meeting these goals through the development, measurement and reporting of KPI’s and operational scorecards.
Provides timely, accurate and complete reports on the operating condition of the vertical and responsible for regular executive and employee communication to report on the effectiveness of the operation to promote strong execution, alignment, and accountability.
Provides leadership, expertise, and insight to the Senior Operations Manager on all operational matters making recommendations for new business and product strategies or human capital investments.
Develops solid people systems, processes, and development programs resulting in a highly engaged workforce and a strong and positive culture.
Ensure compliance monitoring and internal controls are in place, including processes for management of operational risk, in accordance with CHS/Caliburn and regulatory standards.
Conducts operational assessments and site surveys in support of future expansion operations in support of the HIS vertical
Leads and develops an effective team through communication, performance management, employee development plans and reward/recognition practices.
Continuously improves administrative services agency wide
Works closely with the HS business unit.
Forms part of the administrative services team who provide ongoing support to CHS programs to support agency wide development of programs, program expansion, special projects, strategies for agency growth
Assists in the drafting of agency policies and procedures, in alignment with USG (ORR, DHS, FEMA and DOL) Policy and Procedures and DFPS Minimum Standards
Provides program assistance when developing action plans or responding to corrective action plans, and oversees implementation in support of the Senior Operations Manager
Attends and participates in all staff meetings, trainings, workshops, conferences, and any other staff related activities required by the position
Courteous and presentable to all Federal, State, and Local Agencies and any other visitors who frequent CHS facilities
Maintains thorough knowledge of and comply with all rules, laws, procedures, and policies relevant to duties
Performs other related work as assigned
Ensures safe operating conditions within the HS vertical.
Leads, supports and participates in the HIS vertical safety meetings, training and goals.
Assists in active implementation of CHS/Caliburn initiatives to ensure compliance with OSHA, VPP, ISO, CVO, TJC, AAAHC, and other mandated regulations/standards.
May participate in interdepartmental project groups or task forces to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specific level of knowledge pertaining to new developments, new task efforts, contract awards, and new policy requirements.
Performs duties in a safe manner. Follows the corporate safety policy.
May be assigned to other tasks as needed.
Work is normally performed in a typical interior/office work environment.
Work involves sitting and standing for prolonged periods of time.
May require bending, stooping and lifting up to 30 lbs.
