Job Description

Division: Clinical Services

Level of Education:
Minimum: Bachelor’s degree plus 5 years work experience or 10 years work experience.
Preferred: Bachelor's degree, Registered Nurse or Licensed Practical Nurse, and/or Experience Clinic Manager
Other: Area appropriate certification(s) and membership as applicable.

Level of Experience:
Minimum: 5 years of clinical/technical experience and at least 3 years supervisory experience.

Supervision Received:
Reports to the Vice President of, Clinical & Training Services.

Supervision Exercised:
The Operations Manager will work with department leads to oversee daily operations of Clinical Services across Beacon’s four locations and drive consistency of delivery of the Rock Star Customer Service and Operational Excellence we are known for.Responsibilities will include staff management, scheduling, the ability to work and communicate easily with a wide variety of people
ranging from technical and administrative assistants to professional staff and the executive team.

Knowledge and Skills:
Must have clinical competence for the designated area(s) and have a solid understanding of management and human resource principles.  Must have excellent interpersonal skills, critical-thinking and problem-solving skills, and demonstrate professional maturity.

Basic Function and Responsibility:
Operations Manager will plan, facilitate, and manage the day-to-day activities of the designated area(s) as well as actively participate in the delivery of services.  Ensure the delivery of excellent quality client focused services, continuous improvement and maximize the efficiency and development of the employees and organization. Regular travel to Beacon’s clinics in Fairbanks, Kenai and Deadhorse is required.

Duties and Responsibilities:

Supervision & Customer Service
Display a positive attitude toward change.
Demonstrate critical thinking and problem-solving skills.
Demonstrate organizational skills and the ability to set priorities.
Manage service area personnel through appropriate recruitment and retention strategies and staff development.
Monitor staff and facility productivity.
        Provide coaching whenever possible to improve and motivate staff performance.
        Counsel staff when necessary.
Coordinate payroll in a timely and accurate manner.
In coordination with Leads, maintain
        Staff schedules
        Equipment
        Supply Inventory
Lead training initiatives for new and existing team members.
Conduct regular service area meetings.
Participate in the development and execution of short- and long-term goals and objectives.
Manage implementation of service area changes based on the identified goals and objectives.
Ensure adequate staffing resources to deliver excellent quality and customer focused care.
Provide educational resources & opportunities for staff.
Manage customer relations through development of highly efficient teams.
Participate in special teams and committees to gain knowledge and implement high standards.
Establish a sense of direction and motivate staff to work together toward common goals.
Empower the team to continuously seek ways to improve patient & client experiences.
Create an environment where team members are comfortable speaking freely and asking questions.

Quality Monitoring

Comply with the regulatory agency rules and regulations to assure compliance with federal, state, and local requirements.
Provide regular analysis and reports of service area performance initiatives.
Develop and maintain service area policies and procedures and assure compliance.
Monitor quality by auditing records to assure accurate and timely completion.
Maintain confidentiality of protected information.
Look for ways to improve effectiveness by implementing systems and more efficient approaches.
Assist in the development and implementation of solutions to identified performance improvement opportunities.
Demonstrate flexibility and the ability to handle and implement change with minimal disruption.
Ensure a customer service focus is maintained.
Respond to customer requests in a timely manner.

Serve as a single point of contact and reference for client companies.
On Site Service Coordination
        Prepare Pricing and Proposals.
        Coordinating Schedules
        Coordinating Travel
Coordinate services with Coalition Health Clinic when necessary.
Create new Client Accounts.
Demonstrate effective communication and management skills.
    Provide consistent and regular feedback to direct reports.
    Communicate with customers to ensure they are satisfied, and their needs are met.
    Maintain communication with the customer to set realistic expectations.
    Ensure employees understand the performance standards.

Contingencies:
Offer contingent upon ability to pass pre-employment drug testing, physical exam, background check and motor vehicle report.
