The Chief of Staff performs a wide range of administrative, operational, and strategic support duties for the President/CEO, Board Chair, and Executive Leadership, and functions as a liaison to the Board of Directors. Possesses exceptional planning and project management skills, as well as extensive experience in administration, communications, and member relationships. Manages multiple highly confidential tasks and assignments with discretion and professionalism.

Responsible for oversight of the office of the President/CEO and Executive Leadership. Provides verbal and written correspondence on behalf of the President/CEO and Board.
Assists in the management of President/CEO’s and select leadership calendar, mail, and email accounts.
Records clear and concise Board and Committee minutes, reports, correspondence, and other material.
Assists in the organization of the strategic planning sessions and other meetings as required.
Manages tasks and deadlines on behalf of the CEO and select senior management.
Manages communications and executive interactions with government and regulatory agencies, trade associations, and community and business groups.
Interacts and collaborates on corporate communications with the public relations team and other internal colleagues.
Interacts frequently with members, vendors, visitors, and dignitaries.
Collects and prepares information for the use in discussions/meetings of the executive leadership team and Board meetings.
Supervises production of the monthly board package and coordinates all arrangements for monthly Board meetings.
Oversees all executive event planning and logistics.
Composes correspondence and provides responses that require considerable sensitivity, discretion, and judgment.
Maintains company confidentiality in all aspects of the role.
Conducts research, analyzing and interpreting information, problems, and proposals to ensure objective and complete information is provided to the President/CEO for decision making.
Assists in the maintenance of organizational bylaws.
Develops and monitors administrative budget.
Executes special projects as assigned by President/CEO, Board Chair and/or Board of Directors, and select executive leadership.
Coordinates and oversees Board training and education.
Refers routine matters to appropriate Departments and employees for action and follows up to insure proper disposition.
Coordinates travel arrangements for the President/CEO, Board, and executive leadership.
Reviews and processes Board, Supervisory Committee, and executive leadership expense reports.
Maintains the meeting schedule for the Boardroom and executive conference room.
Stocks Boardroom supplies as needed.
Plans the layout of complex reports, proposals, and statistical tables.
Maintains records, files, manuals, and handbooks.
Provides and logs visitor badges and conducts visitors to President/CEO and executive leadership.
Position may require travel, weekend or evening commitments for meetings, events, and planning sessions.
Perform other duties as assigned.
The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and Experience
Bachelor’s degree in Business Administration or other related major, or 8 years of experience in executive support required with a minimum of three years of experience in executive administrative support to C-Level executives highly desired.
Previous supervisory experience highly desired.
Financial industry experience desired.
Certificates, Licenses and Registrations
Certified Administrative Professional (CAP) or Microsoft Office Specialist (MOS) a plus.
Proficient in MS Office, Boardroom Web, and the use of social media.
Knowledge of office machines and conferencing hardware.
Outstanding reading, writing and verbal communication skills.
Demonstrated ability to compose correspondence and content materials.

Able to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow-ups.
Able to manage sensitive and confidential information with discretion.
Excellent organizational skills with the ability to prioritize tasks and anticipate needs.
Ability to travel, attend, and participate in meetings, seminars, and conferences held before and after normal business hours that may require unaccompanied long-distance travel and overnight lodging.
